Ghana Technology University College Admission Policy

STUDENTS SELECTION, ENROLLMENT AND INDUCTION/ORIENTATION POLICY AND PROCEDURE

Purpose: This procedure describes the process whereby GTUC selects, enrolls and inducts students.

Scope: The procedure applies to all students seeking enrollment in and/or those enrolled in courses within GTUC’s scope of registration.

Responsible parties: The Admissions’ Unit, other Heads of Units and Heads of Departments are responsible for the control and implementation of the admission procedure.

Definitions

Pre-enrollment

This term is used to describe a ‘stage of enquiry’ when a prospective student is entitled to receive as much information as possible in order to make an informed decision and selection of the programme of study.

Enrollment

The term assumes a student has participated in pre-enrollment activities at GTUC or has received pre-enrollment information by request.

Enrollment occurs when the student’s application has been received, processed, selected and endorsed. Thereafter, all qualified candidates are notified in writing, through e-mail, by telephone calls and by pasting a list of successful candidates on our website regarding the results of their applications. All enrolled students are offered an orientation which spells out responsibilities and provides further information regarding student services, vocational services and GTUC resources. Such students will eventually be matriculated to become Junior Members of the University Community.

Student Orientation/Induction

This process is undertaken on the first day of attendance of a series of programmes given to freshers at GTUC which include a number of activities. Students who are unable to attend orientation sessions are to be directed to the Student Affairs Unit or GTUC website for further information. Students are to be issued with GTUC Student Handbook summarizing GTUC admission processes, course information and student responsibilities.

Diversity Strategy

GTUC has considered its obligations and commitment to the provision of education services for people of all cultures, age, gender and interests. To meet this commitment, GTUC has defined the scope of its capabilities within the Code of Practice in the Academic Policy. These are set out for all stakeholders, GTUC’s intentions to manage the needs of individuals as learners, to encourage and promote the value of diversity in learning and to develop and implement a range of instruments to ensure fair access and equity for all students.

POLICY STATEMENT

The offer of accredited programmes requires GTUC to meet a minimum standard of student services and support. These services are to be delivered at pre-enrollment, enrollment and during the progress of studying. At pre-enrollment, prospective students must be informed of their rights and obligations as students of GTUC. Students’ selection processes must be documented and implemented in accordance with legal and regulatory requirements. These processes must be underpinned by GTUC’s diversity strategy and own policies and procedures governing student selection. GTUC has laid down in its Code of Practice, all responsibilities of its students for the conduct of education services provided, and will provide access to this document on the website or on request for a hardcopy.

GTUC will promote all policies and procedures which need to be implemented to assure prospective and current students of the education services provided and will provide in a documented guide. GTUC will comply and promote its responsibilities with all relevant laws and regulations on matters of:

  • Health and safety
  • Workplace harassment
  • Victimization and bullying
  • Antidiscrimination, including equal opportunity
  • Racial vilification
  • Discrimination
  • Privacy
  • Disability.

GTUC will provide additional support and welfare services or refer students to external agencies where personal difficulties are impacting on their studies. GTUC will implement strategies and processes to assist with the identification of learner needs and develop programmes of learning that are relevant to diverse groups of learners.

PROCEDURES

Pre-enrolment All potential students are to be provided with Student Handbook that details accredited course/code and units of study. Handbooks are to be accompanied by general course information (or details of access through GTUC website) detailing at least:

  • Selection processes
  • Fees and charges
  • Provision for language and literacy assistance
  • Learning support arrangements
  • Learning strategies and methods
  • Welfare and guidance services

Appeals and complaints processes Prospective student enquiries are to be directed to the Admissions staff or to Faculty staff who have the appropriate course knowledge. Prospective students are encouraged to discuss with the Admissions officers details on specifics to intended programmes. The Admissions officers offer prospective students information concerning:

  • Selection processes
  • Course content and outcomes
  • Fees and charges
  • Provision for language and literacy assistance
  • Learning support arrangements
  • Learning strategies and methods
  • Welfare and guidance services
  • Appeals and complaints processes
  • Disciplinary processes

Prospective students are encouraged to discuss their enrolment application with the Admissions officers and make an interview time to meet with the Admissions staff. Acceptance of Offers A person receiving an offer of admission must respond to accept the offer by the process which is specified in the offer letter and by the due date which is specified in the letter together with a receipt indicating payment of fees. If an applicant fails to accept the admission offer by the due date specified in the letter, the offer will lapse.

Deferment

Deferment is accepting the offer of a place in the programme but deferring enrolment for a specified period not beyond one academic year (two semesters). An applicant who wishes to defer admission must write a letter to the Registrar to that effect. Fees must however be paid to the University before deferment. GTUC is bound to hold an offer for an applicant who pays the full cost of the fees for the year in session, and who also takes part in matriculation. The University notifies all persons who have an approved deferment of admission. In order to enroll at the end of the period of deferment, the applicant must notify the University of his/her intention to take up the deferred offer by the date specified on the University’s correspondence. If no response is received by the due date, the offer of a deferred place will lapse. Applicants are not entitled to hold a deferred place and apply for other programmes. If an applicant holding a deferred offer wishes to apply for other programmes, their deferred place automatically lapses.

Withdrawal of Admission

Offer The University reserves the right to withdraw an offer and cancel the enrollment of any person where an offer was made on the basis of false information supplied by the applicant or a certifying authority. Transfer to another Programme Applicants who have received an admission offer into a programme and wish to change to another programme should do so within the first 14 days of the commencement of the academic year. If the applicant meets all the requirements for admission to the new programme, the request may be approved.

Readmission of Dismissed Students

Dismissal from GTUC terminates a student’s relationship with the University College. Although some students may apply for re-admission, decisions concerning re-admission are made by the Academic Board of the University College. Students who were expelled or rusticated from another college within the past year are not allowed to enroll at GTUC.
