Senior Administrative Staff Of UENR Undergoes A Capacity Building Workshop 2018

The Dean of School of Management Sciences and Law Prof Yaw Ofosu-Kusi has called on Staff of the University of Energy and Natural Resources (UENR) to use the appropriate means to communicate their concerns and develop teamwork. He said these values would help create a sense of belongingness and unity in the University. Prof. Ofosu-Kusi was speaking at a workshop organized for Senior Administrative staff in the Registrar’s offices. The programme which aimed at equipping participants with the requisite knowledge needed for their clerical duties was on the theme: Developing Your Career in a Dynamic and Competitive Environment, A key to the Attainment of Institutional Goals.

Prof. Ofosu-Kusi speaking on the topic: Working together as a team in the Registrar’s Offices: Our Role of Building Effective Administration, said effective communication, consultation, respect for others, confidentiality and support in times of health issues and work overloads should be the hallmark of administrative staff of the University adding that, these would help prevent an acrimonious and an unstable institution. He further stated that the University Administration can be effective and productive when resources available were efficiently used by staff.

The Senior Assistant Registrar, Human Resource Division, Mr. Alfred O. Appiah who took participants through the format for writing a good report, said reports should be professionally written in formal language adding that, a good report should answer the questions what, who, where, when, why and how.  Mr. Appiah explained that a report must also have preliminary, main and supplementary parts to make it standard. He urged participants to be conscious of the grammar used in writing a report and be creative to add value to what they write as administrators.

The Assistant Registrar at the School of Graduate Studies, Mr. David Twumasi-Ankrah made a presentation on writing good minutes and memos. He said one must be a good listener, assertive and well organized to be able to write a good minute. He noted that a good administrator should be able to render sound advice to their superiors at meetings and should have knowledge of the subject matter, as well as command of language. He stated “In writing a minute the real work comes in being able to wordsmith a draft set of notes into an exceptionally good piece of writing.” He urged them to proofread any report written, be confidential and ready for criticisms.

The Junior Assistant Registrar at the Human Resource Division, Miss Yvonne Claire Dumenu said records constitute an essential part of the University and that it was through filling system that records are kept and retrieved for future use. Miss Dumenu indicated that filing was important in administrative work because it safeguard important information and dates that makes documents easily accessible. She took participants through the methods of filling which were alphabetical, numerical, geographical, subject and chronological. She advised participants to make use of file index to help easily locate a file.
